Interactive COC App Privacy Policy

How the Interactive COC app collects, uses, stores, shares, and deletes user information.
Overview
Interactive COC is a digital Chain of Custody platform that allows users to create, manage, transmit, and maintain Chain of Custody records and related project information.
Information You Provide
To create and use an Interactive COC account, users may provide information including:
- First Name
- Last Name
- Email Address
- Password
- Mobile Phone Number
- Company Name
- Company Address
- Company Phone Number
- Company Logo
- Company Branding Preferences
Users may also create and maintain:
- Project Information
- Site Information
- Sample Information
- Laboratory Information
- Draft Records
- Chain of Custody Records
- Electronic Signatures
Account Security
Interactive COC utilizes secure authentication services to manage user accounts and access to the Service.
User passwords are not visible to Interactive COC personnel and are not accessible through administrative functions.
Users are responsible for maintaining the confidentiality of their account credentials.
User Data Ownership
Users retain ownership of the information they enter into Interactive COC.
By using the Service, users grant Interactive COC permission to store, process, transmit, and display such information solely for the purpose of providing, maintaining, supporting, and improving the Service.
Data Storage
Interactive COC stores information necessary to operate the Service, including:
- User Information
- Company Information
- Project Information
- Sample Information
- Laboratory Information
- Draft Records
- Submission Records
- Electronic Signatures
GPS Coordinates And Photographs
GPS coordinates and sample photographs are processed locally on the user's device.
Interactive COC does not store GPS coordinates or sample photographs on its servers.
When included by the user, GPS coordinates and photographs may be incorporated into generated documents transmitted to authorized recipients.
Generated Documents
Interactive COC generates PDF and CSV files from stored project, sample, laboratory, and submission information.
Generated files may be transmitted to recipients selected by the user, including:
- The User
- Additional Designated Recipients
- Laboratories
- Other Authorized Parties
Interactive COC does not maintain separate permanent storage of generated PDF or CSV files. PDF and CSV files may be regenerated from underlying project and submission information while that information remains active within the Service.
Submission Records
Interactive COC retains project records, draft records, and submission records necessary to support active projects and Chain of Custody workflows.
Submission records may include:
- User Name
- Company Name
- Laboratory Name
- Type of Analysis
- Number of Samples
- Submission Date
- Submission Time
Administrative Access
Interactive COC personnel may have access to limited account and submission information necessary to operate and support the Service.
Interactive COC personnel do not routinely have access to:
- Project Names
- Site Names
- Sample IDs
- Sample Locations
- Sample Descriptions
- GPS Coordinates
- Sample Photographs
- Generated PDF Files
- Generated CSV Files
Laboratory Information
Interactive COC maintains a laboratory database to support sample submission workflows and laboratory selection.
Laboratory information may include:
- Laboratory Name
- City
- State / Province
- Country
- Email Addresses
- Contact Information
- Fields of Testing
- Analysis Categories
- Types of Analysis
- Turnaround Times
Third-Party Services
Interactive COC utilizes third-party service providers to support operation of the Service, including:
- Google Firebase
- Microsoft Email Services
- Google Maps
- Apple App Store
- Google Play Store
These providers may receive information necessary to perform their services. Their handling of information is governed by their respective privacy policies and terms of service.
Data Retention
Interactive COC retains account information, project records, draft records, and submission records for as long as an account remains active.
Accounts and associated records remain available unless:
- Deleted by the User
- Deleted by an authorized administrator
- Removed as required by law
Account Deletion
Users may permanently delete their account through the App.
When an account is deleted, associated account information, project records, draft records, submission records, and related information are deleted immediately from Interactive COC systems.
Interactive COC may retain limited information only where required by law, security obligations, fraud prevention requirements, or backup and disaster recovery processes.
Information Sharing
Interactive COC does not sell personal information.
Information may be disclosed:
- When required by law
- To comply with legal obligations
- To investigate fraud or security incidents
- To protect users or the public
- To service providers supporting operation of the Service
Children's Privacy
Interactive COC is intended for professional and business use and is not directed toward children under the age of 13.
Changes To This Policy
Interactive COC may update this Privacy Policy from time to time. Updates will be posted within the App and on the Interactive COC website.
